Choosing bike rental software is easier when you start with a day's work at your counter. A long feature list does not tell you whether your team can handle a late return, an unpaid deposit or a customer extending a booking.
Use this checklist to prepare a practical demonstration. Bring your rate card and use fictional customers for the test. Write down the steps that require a workaround so you can assess the full process before subscribing.
1. Test availability with overlapping bookings
Create a booking for a specific scooter. Then try another booking that overlaps its return time. Check what the software shows and whether a staff member can identify the conflict before promising the vehicle.
Now extend the first booking. The useful question is whether your team can see the effect on the next reservation and decide which bike to reassign. Also check how a vehicle under maintenance is removed from availability.
2. Reproduce your rate card
Test an hourly rental, a full-day booking and a late return. Include your actual rules for grace periods, kilometre allowances and extra charges. Ask the vendor to explain the calculation on screen.
If you use different seasonal rates or discounts, check how staff select the correct rate and which roles can override it. Do not judge pricing flexibility from the names of settings alone; compare the resulting bill with a calculation you have already checked.
3. Walk through KYC and handover
Create a new customer and review the fields staff need to check. Ask what happens when a document scan is unclear, a verification service is unavailable or an existing customer returns with updated information.
Confirm which document images and identifiers are retained, who can access them and how corrections or deletion requests are handled. For the handover itself, check where the agreement, vehicle condition and opening readings sit in the booking record.
4. Separate rent from the security deposit
Use a sample booking with part of the rent paid online and a deposit collected at the counter. Confirm that staff can distinguish a payment request from a confirmed payment.
At return, test a full deposit refund and a partial refund with an itemised deduction. The record should make it possible to explain the settlement later without reconstructing it from chat messages.
5. Include the next staff member
Have a second person open the booking and explain what is pending. If you have multiple branches, check the owner view and branch permissions with separate sample accounts. A successful demonstration should include the people who will actually perform the work.
6. Compare the written proposal
List subscription fees, included vehicles and branches, onboarding, training, support and any third-party charges. Ask how data exports and cancellation work. Keep the agreed scope alongside the demo notes so the decision is based on the same assumptions.
